Cancellation Policy

1. Introduction

This Cancellation & Refund Policy governs cancellations, refunds, rescheduling, and transfer requests for all treks, expeditions, training programs, rental services, and related activities organized by Boots & Crampons Pvt. Ltd. (“Company”, “we”, “our”, “us”).

By booking any trek, expedition, or service with the Company, participants acknowledge and agree to this Policy along with the applicable Terms & Conditions.


2. Cancellation Policy for Individual Bookings

Cancellation requests must be submitted in writing via email to:

The applicable refund or transfer amount shall be calculated based on the number of days remaining before the official expedition/trek start date.


A. Cancellation More Than 60 Days Before Departure

If a participant cancels more than 60 days prior to the expedition start date:

  • The participant is eligible for:

    • 90% refund of the total trek/expedition cost
      OR

    • 100% transfer credit toward a future trek/expedition


B. Cancellation Between 60–30 Days Before Departure

If a participant cancels between 60 and 30 days prior to the expedition start date:

  • The participant is eligible for:

    • 80% refund of the total trek/expedition cost
      OR

    • 90% transfer credit toward a future trek/expedition


C. Cancellation Between 30–10 Days Before Departure

If a participant cancels between 30 and 10 days prior to the expedition start date:

  • The participant is eligible for:

    • 50% refund of the total trek/expedition cost
      OR

    • 75% transfer credit toward a future trek/expedition


D. Cancellation Less Than 10 Days Before Departure

If a participant cancels less than 10 days prior to the expedition start date:

  • The participant is eligible for:

    • 10% refund of the total trek/expedition cost
      OR

    • 25% transfer credit toward a future trek/expedition


3. Transfer Credit Terms

Transfer credits:

  • Are non-refundable

  • May be used only for future expeditions organized by the Company

  • Must generally be utilized within 12 months from the original expedition date unless otherwise approved

  • Are subject to seat availability and price differences

  • Cannot be transferred to another participant without written approval from the Company

If the future expedition cost is higher, the participant must pay the price difference.


4. Non-Refundable Charges

The following may be non-refundable irrespective of cancellation timing:

  • Permit fees

  • Visa fees

  • Insurance charges

  • Booking platform/payment gateway charges

  • Government taxes

  • Hotel or transportation advance payments already committed

  • Customized logistics or special arrangements


5. Cancellation by the Company

The Company reserves the right to cancel, postpone, modify, or reschedule any trek or expedition due to:

  • Weather conditions

  • Natural disasters

  • Safety concerns

  • Insufficient participants

  • Government restrictions

  • Political unrest

  • Pandemics

  • Operational or logistical challenges

In such cases, the Company may offer:

  • Rescheduling options

  • Transfer credit

  • Partial or full refund depending on recoverable operational costs

The Company shall not be liable for:

  • Flight/train cancellations

  • Visa losses

  • Hotel bookings made independently

  • Third-party expenses incurred by participants


6. No Show / Early Exit / Removal from Expedition

No refunds or credits shall be provided in the following situations:

  • Failure to report on time

  • Voluntary withdrawal during the expedition

  • Removal due to misconduct

  • Removal due to medical unfitness or safety concerns

  • Non-compliance with expedition leader instructions


7. Refund Processing Timeline

Approved refunds shall generally be processed within:

  • 7–21 business days

Actual credit timelines may vary depending on banks, payment gateways, and financial institutions.


8. Force Majeure

The Company shall not be held responsible for cancellations, delays, losses, or additional expenses caused by events beyond its control, including but not limited to:

  • Natural disasters

  • Landslides

  • Avalanches

  • Pandemics

  • Political unrest

  • Transportation disruptions

  • Government orders

  • Extreme weather conditions

Refunds or credits in such situations shall be determined at the sole discretion of the Company after deduction of unrecoverable operational expenses.


9. Governing Law & Jurisdiction

This Policy shall be governed by the laws of India.

Any disputes arising under this Policy shall be subject to the exclusive jurisdiction of courts located in New Delhi, India.
